Leads and directs all operational management components of the clinic at all locations. Ensures that the decisions of the governing bodies are achieving their intended purpose and implemented. Is a member of the senior management team and works closely with the Clinic President, CMO, Department Chairs, Administrative Staff and individual physicians. Oversees the Administrative Division Leads, Value Based Care Leader, Director of Facilities, Ancillary management CMO for Population Health and all provider relations activities. Responsible to develop and manage operational infrastructure for a multi-location, fast growing medical care delivery system.
Essential Duties & Functions
Provides leadership in the conception and development of objectives, policies, plans, programs and budgets, for consideration and adoption by the Executive Committee and the Board of Directors. Assumes the responsibility for the execution of objectives, policies, plans, programs and budgets as adopted.
Interprets and implements the policies and directives governing the operations of the clinic as adopted by the Board of Directors.
In collaboration with the CMO, works with the Department Chairs for the preparation and implementation of recommendations on specific programs, services and policies, to achieve the objectives in accordance with the goals and objectives of Board of Directors and Executive Committee.
Assists the CMO and the Department Chairs in evaluating the clinical performance of the providers. Helps to establish processes to meet the clinic service needs of the patients in accordance with department skills and goals. Reports on all operational matters and the performance of its various components, including the formulation of responses and recommendations to ensure a continuous improving organization.
Attends regular meetings of the Executive Committee and Board of Directors in an ex-officio, non-voting capacity. Provides assistance in the preparation of agenda, research, presentations and other similar activities. Conducts operational committee meetings.
Oversees the design, systems and procedures for efficient workflow and best practices. Provides measurement metrics and evaluates systems for consistency of identified outcomes. Determine root causes and solutions when needed.
Works with the Departments to establish effective governance models. Cultivates a dyad leadership model with Administrative and Physician leads and practices to enable clear paths of communication and engagement to maximize performance.
Coordinates the activities of the administrative management team at all department levels in coordination with department chairs. Keep physicians, supervisors and key personnel apprised of all matters of significant importance.
Reviews the financial performance of departments and provides action plans based on identified issues.
Coordinates with clinic services leaders on compliance program implementation. Ensures appropriate quality assurance measures are in place and reviewed regularly.
Responsible for the development and management of long-term facility planning and oversight. Ensures that the physical space needs and functions are adequate to achieve identified goals of the Board of Directors and/or the Department.
Assists the Human Resources Director in administering all human resources policies and procedures for the clinic.
Coordinates with IT Director to meet the information system and telecommunication needs throughout the clinic. Works to develop and maintain core strength of IT services and effective system use and security.
Works with the Business Office Director and staff to efficiently collect for services rendered in accordance with determined work processes. Reviews work flows to improve billing capture and outcomes.
Assists in the development of systems for the selection, employment, compensation, training, feedback and discipline of employees of the clinic. Models and manages compliance with the personnel policies and budgets adopted. Develops models to plan for adequate staffing and evaluates use of personnel in clinic areas. Develops and maintains effective liaison with management, physicians, patients and employees.
Helps with provider relation staff to assist and coordinate with Director of Marketing & Public Relations a sound public relations program. Represent the Clinic in key relationships with the business and civic community, hospital administration, vendors, government agencies and professional organizations, as required.
Coordinates with the Chief Financial Officer on areas of budget, planning, finance review and analysis, contracts, risk management, strategic planning, pension administration, recruitment and investments for the improvement of the clinic operations and enhanced services. Provides training to operations team on report analysis and presentation to work teams to assist in overall understanding and root cause of performance issues to be addressed.
Minimum Qualifications
Five years of operational management experience in a growing multi-specialty clinic practice. Proven experience in managing and optimizing operational processes in a value-based care environment.
Bachelor degree in Business, Finance or related field. Master degree preferred.
Must have proven leadership abilities, problem-solving skills, excellent interpersonal and communication skills and change management experience to successfully lead clinic initiatives
Demonstrated ability to provide leadership and direct supervision to Administrators over various medical specialties.
Computer skills (Word, Excel, PowerPoint and Outlook) required.
Demonstrated abilities of professional interactions with physicians to guide them in business interactions and requirements.
