Job Type: Full-Time Summary: This position is responsible for performing diverse Talent Department functions working on the Physician Recruitment Residency Team. This work will provide comprehensive administrative support to ensure smooth and efficient operations. Assignments include time-sensitive, first-hand tasks that organize the recruiting and data entry process on a daily basis. This role must handle a diverse array of procedures and be able to handle ambiguity and work through resolutions to questions and/or problems. The position involves a high degree of professionalism, organization, attention to detail, project management, and customer service. The Talent Specialist frequently interacts with high-level contacts and has exposure to sensitive human resources information necessitating the use of tact, diplomacy, discretion, and judgment.
Responsibilities:
Administrative Support: Assist the Physician Recruitment Residency Team with daily administrative tasks, including scheduling meetings, managing calendars, and preparing documents. Knowledge of company Recruiting Policies, Processes, and Procedures.
Invoice Processing: The invoice processor for Physician Recruitment and Locum Services will handle the receipt, submission, and coding of invoices related to physician staffing.
Communication: Serve as a point of contact for internal and external communications, including emails, phone calls, and correspondence.
Document Management: Maintain and organize files, records, and documents related to business development activities.
Research: Conduct market research and gather information to support business development initiatives.
Event Coordination: Assist in planning and coordinating Residency and Fellowship events.
Data Entry: Utilize, maintain, update, and edit ERP system to facilitate accurate candidate data. Responsible for troubleshooting data inconsistencies. Prepare recruiting reports as requested.
Travel Arrangements: Coordinate travel plans, including flights, accommodations, and transportation.
Reporting: Prepare and distribute reports, presentations, and other materials as needed.
Inventory/ Supply Management: For the Residency and Fellowship events.
Other Duties: Perform other administrative tasks as assigned to support the Physician Recruitment Residency Team.
Requirements:
Bachelor's Degree preferred
0-2 Years previous recruiting support or HR experience preferred
30% Travel Required
Work Setting: In Office
Technical proficiency in Virtual platforms (Zoom, Skype, Microsoft Teams), Outlook, MS Office, including Word, Excel and Power Point, and HRIS systems
Takes initiative in situations in anticipation of needs
Ability to work independently and as part of a team
Experience supporting multiple people and managing ongoing projects
Competent problem solver
Strong interpersonal and communication skills (both written and oral) and the ability to work effectively with a wide range of constituencies
