Position Summary: The Conference Program Coordinator plays a key role in managing content, volunteers, and speakers for the PRIM&R Annual Conference by providing operational and administrative support to the conference team and committees. Working closely with the Conference Program Manager, the Conference Program Coordinator will work with teams of volunteers/subject matter experts in the planning and management of content, speaker recruitment and management, and assist in building/maintaining the conference’s attendee event platform. This position will also oversee and lead the conference poster committees.
What you’ll do: • Support the Assistant Director of Conferences and Conference Program Manager in development and execution of the annual conference. This includes recruitment of and working with volunteers, subject matter experts, speakers, and content authors, external vendors and agencies, software systems and technology. • Serve as one of the primary points of contact for volunteers, speakers, and attendees and adhere to timelines and deadlines. • Support the management of planning committees to develop program content, including scheduling calls, taking notes on planning calls, and updating committee documents/project management software. • Assist with the creation and maintenance of the attendee event platform and assist with the maintenance of the conference agenda. • Oversee and lead the Poster Presentation Program, including compiling abstracts, working with the Poster Abstract Review committee, and communicating with poster authors. • Assist the Assistant Director of Conferences and Conference Program Manager in the execution of the conference scholarship program, including reviewing scholarship applications, notifying applicants of decisions, and managing awardees and scholarship funds. • Assist with conference speakers (e.g., create/maintain speaker portal, send speaker correspondence (invitations, planning memos, etc.), manage invitation responses, answer questions, process registrations, etc.) • Work on-site at conferences assisting staff, attendees, speakers, exhibitors, and vendors, answering questions and troubleshooting technical issues. • Serve as a member of the organization’s customer service team (e.g., answer phones, process registrations, etc.)
What we’re looking for: • 2-3 years relevant experience in the human and/or non-human animal research ethics and oversight field is preferred. Customer support experience is required. • Excellent communication, writing, and customer service skills, with the ability to communicate effectively with diverse constituencies across the organization and externally. • Strong attention to detail and accuracy. • Strong organization skills, with the ability to multi-task and effectively manage projects and competing deadlines. • Ability to proactively anticipate tasks/steps and work independently of supervisor. • Experience with the following software (or similar products) is preferred: Microsoft Office; Fonteva; Cadmium; Survey Gizmo; Google Docs; Basecamp; Zoom Meeting; and Asana.
Relationships: • Internal: The Conference Program Coordinator will work with other PRIM&R departments to ensure proper execution of the conference and so, this individual must be a collaborative team player. • External: Works closely with teams of volunteers/subject matter experts from the research ethics and oversight community, academic institutions, pharmaceutical companies, nonprofits, and more.
Salary & Benefits: The salary range for this position is $53,000 - $63,000. PRIM&R offers a full benefits package, including medical, dental, 401k, generous paid time off, flexible work schedule, summer hours, commuter and home office equipment support, and professional development support. PRIM&R offers a hybrid work environment.
Travel: The Conference Program Coordinator is required to travel to the PRIM&R Annual Conference. Additional travel up to 20%, including travel to staff retreats is required. Position can be fully remote, or hybrid.
