We are seeking an Administrative Assistant to support both the Vice President (VP) for Compensation and Associate Dean (AD), Clinical Departments, School of Medicine. This position will also have other administrative duties for DHIP and the compensation office. This position is within our Duke South Clinics located in Durham, NC. This role will perform administrative responsibilities of a complex and confidential nature in support of both leadership positions.
JOB DUTIES AND RESPONSIBILITIES
Apply knowledge and skills to resolve complex and routine administrative problems in support of the VP and AD
Provide and coordinate scheduling support for VP and AD, which can include large number of attendees
Perform receptionist duties for offices of VP and AD
Interpret institutional policies and procedures, making decisions on specific issues and issuing instructions in support of the VP and AD
Independently generate reports and presentation as requested by VP and AD
Attend meetings and assist in recording minutes and disseminating as indicated
Responsible for ordering office supplies and tracking related expenses of office
Coordination of departmental personnel activities including, but not limited to, travel itineraries, parking passes, and related reimbursements
Perform other related duties as assigned by supervisors.
Manage office logistics including packages, supply inventory, meeting spaces, in-person assessments and oversight, as well as ensure timely ordering within budget constraints.
JOB ELIGIBILITY REQUIREMENTS
High school education or equivalent.
Two years of administrative support experience of increasing variety and/or complexity.
JOB HOURS
The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
