Come join UCLA Health as an Administrative Assistant 3 for our Care Coordination and Clinical Social Work Department’s Santa Monica office location. Under the guidance and supervision of the Manager of Learning, Development, & Business Operations, the Administrative Assistant III will independently prioritize work, performs administrative functions and processes necessary information to meet the Medical Center needs, patient/patient family needs, and government and third party regulations in a timely manner. In this role you will:
Work in close cooperation with all Care Coordination employees as well as internal and external customers to facilitate customer service, patient care and reduce liability for both the patient and hospital using professional and customer-oriented demeanor; often requiring diplomacy and skill in managing angry or inappropriate behavior.
Track and disburse Emergency Patient Assistance inventory to patients/families/staff and accurately use EPAF computer program to account for daily fund balances.
Compose memos and correspondence with a high degree of accuracy.
Maintain the TJC employee database and ensure that employee personnel files meet all required standards.
Process billings for payment from outside agencies and prepare interdepartmental recharges when necessary.
Type reports, proposals and spreadsheets using correct grammar, spelling and punctuation to include the ability to accurately complete numerous edits by Management staff.
Answer phones, reserve conference rooms, assist with office supply orders, and perform other appropriate clerical duties as requested by management.

Salary range: $29.42 - $42.14 Hourly
Qualifications
We are looking for a detail oriented, organized, and caring individual with:
Ability to work with frequent interruptions, and skill in setting priorities which accurately reflect relative importance of job responsibilities.
Skill in reading a medical record and skill in accurately copying, positing or transcribing patient data, including medical record terminology and abbreviations.
General knowledge of government and third-party rules and regulations which affect the processing of authorizations necessary for billing of patient services.
Ability to code medical diagnoses or procedures using CPT coding manual and current procedure terminology.
Effective written and verbal communication skills, and proofreading skills.
Proficient computer skills with a PC and Microsoft Office, and ability to perform data entry and produce simple memos.
Ability to function cooperatively in performing individual and group tasks, and sensitive to the needs of others.
Ability to operate multi-line telephone, photocopy equipment, word processing equipment and fax machine.
Ability to perform simple arithmetic skills such as adding, subtracting, multiplying, dividing, with or without a calculator.
Interpersonal skills; ability to function cooperatively in performing individual and group tasks while being sensitive to the needs of others.
Bilingual verbal language skills (English and Spanish) is preferred.
