Atlantic Health System is seeking a Full-Time Medical Office Associate I for the Oncology Department (Glasser Center). Required hours are 8:30AM-4:30PM (Monday thru Friday).
Position Summary: Provides for the smooth flow of patients through the practice, inclusive of registration, for the proper disposition of telephone calls that are received by and originate from the practice and for the coordination of patient appointments and correspondence. Accurately collects and documents time-of-service payments, verifies demographics and insurance information and correctly registers patients in system. Offers friendly, courteous assistance to every patient to ensure that they have a positive, professional experience while at AMG. Managing authorizations and referrals, maintaining adequate supply inventory. Must successfully pass all required training. Includes, but not limited to: Electronic medical record training, revenue cycle training, others as appropriate.
Competencies:
Knowledge: A working knowledge of computers, medical terminology, insurance, Electronic Medical Records (EMR) required.
Skills: Demonstrated interpersonal, written and verbal communication skills are required in order to serve a diverse customer base. Demonstrated proficiency in the following, but not limited to, patient registration, appointments, scheduling, arrival appointments, EMR phone notes, indexing documents within EMR, telephone etiquette.
Office Equipment: Must operate standard office machines and equipment such as photocopiers, PC, fax, scanner, general office and communications equipment.
Authority/Decision-Making: Makes appropriate decisions, using available resources, to achieve positive outcomes for patients, visitors, and staff in balance with sound business practice.
Problem Resolution: Basic problem solving and decision-making skills required.
Information Management: Completes mandatory training to include, Patient ID, Pre-verification, Check-in, Appointment Entry, E-mail, Insurance proficiency, cash collection and any additional training required for the operations of the practice. Schedules, reschedules and cancels patient appointments and procedures within the department. Collects and verifies the registration data at each encounter. Performs down-time procedures and take necessary actions. (i.e. manual registration).
Essential Functions (including but not limited to):
- Manages phones.
- Greets patient promptly upon arrival to practice.
- Schedules/confirms meetings and appointments with physician offices.
- Registers patients in system, collects and documents time-of-service payments and emergency contact information.
- Verifies insurance coverage, complete forms, collect co-pays.
- Maintains office supplies.
- Maintains schedules, prescriptions, follow-up care and notes in EMR system.
- Patient Experience Rounding.
- Other related duties as assigned.
Qualifications:
- High School Diploma or GED equivalent required.
- Bachelors degree preferred.
- To provide a safe environment to our patients, we require that all candidates must be able to read, write and speak English.
- Excellent verbal and written communication skills and medical terminology required.
- Individual must be customer and employee focused, must have demonstrated ability to multi-task.
- Proficiency with Microsoft Office suite required.
Relevant Experience:
- 1-2 years of prior administrative experience in a hospital setting strongly preferred.
- Knowledge of scheduling & EMR system a plus.
- Prior experience working in a medical practice, customer service field, or administrative office setting preferred.
