The role you’ll contribute:This team member supports the Foundation’s operations through coordinating and submitting invoices, creating reports and presentations for the department’s leadership team, daily duties in electronic medical record, Blackbaud’s Raiser’s Edge NXT, assistingthe Foundation team with Grateful Patient operations services, support employee giving and annual giving operations, timely donor stewardship, and other responsibilities that help the Foundation team streamline processes and procedures while driving progress and meeting goals.
We are looking for an energetic, passionate Development Associate to join our AdventHealth Waterman Foundation team! This team member will report to the Executive Director.
This team member performs a variety of administrative and operational duties to support the AdventHealth Waterman Foundation staff. This role requires someone with strong written and oral skills who can take direction and demonstrate the ability to be proactive and anticipate their team's needs. Additional skills include the ability to: coordinate projects from start to finish and meeting deadlines; excel with event logistics; ability to both plan and support meetings; manage and maintain schedules, appointments, and calendars for leadership; work nights and weekends as needed; and assist with data-oriented tasks and donor research.
The value you’ll bring to the team:
·Manages donor intake calls (within business hours) as needed to make needed connections within the AdventHealth organization and within the community. Be the subject matter expert for AdventHealth Waterman, remain knowledgeable and current on Foundation policies and procedures, fundraising priorities, and monitor donor services email and voicemail to assist with donors and donor prospects, patient experiences and requests.
·Greets and assists visitors.
·Professionally represents Leader(s) and AdventHealth in all communications and as requested at meetings, events, etc. Communicates effectively and appropriately based on visitor needs and age level. May be asked to represent the Foundation at events in the community.
·Provides a wide assortment of administrative support including but not limited to annual nonprofit filings (corporate resolutions, solicitation of contributes act, donor annuities, unclaimed funds) for the AdventHealth Waterman Foundation Executive Director, and all Foundation staff.
·Manages the calendar and expenses for the AdventHealth Waterman Foundation Executive Director.
·Works collaboratively with other administrative staff throughout the community, the hospital system, etc.
·Works collaboratively with the Annual Fund Manager to develop and deploy the Team Member Giving program. Position manages kickoff event, creation and organization of pledge forms, data processing and management, timely stewardship and acknowledgement, and the planning of quarterly tabling events.
·Supports the identification, analyzation, cultivation, solicitation, and stewardship of grateful patients including current and prospective donors.
·Responsible for accurate data entry into electronic donor records including adding new constituent records, updating records, process returned mail, completes new donor workflow duties and timely preparation of gift acknowledgements.
·Responsible for tracking local obituary records and updating donor records as applicable. Prepares donor correspondence as needed.
·Works closely with special event manager, sponsors, vendors, marketing, and volunteers for event planning logistics, such as mailings, catering, floor plan, rentals, volunteer schedule and event supplies.
·Attends major events (gala, golf, 5k) and assists with all aspects of event day, set-up, and breakdown.
·Assists with administrative tasks related to special events, including tracking attendee responses, name tags, attendee list, and scheduling committee meetings (gala, golf, 5k, planned giving seminars.)
Qualifications
The expertise and experiences you’ll need to succeed:
REQUIRED:
·Driver’s License and Insurance
·Bachelor’s degree or equivalent work experience
·One to three years’ experience directly related to the duties.
·Comfortable working with internal and external stakeholders and as part of a team
·Detail-oriented, accurate and thoughtful when completing tasks.
·Excellent computer skills in word processing, spreadsheets, and databases, using programs such as Microsoft Outlook, Word, PowerPoint, Excel, Access, Mail Merge, etc.
·Ability to maintain confidentiality of records and information.
·Ability to understand and follow specific instructions and procedures.
PREFERRED:
·Professional experience in the fundraising or nonprofit industry
·Ability to create, design, compose and edit written and marketing materials.
·Knowledge of fundraising software applications such as Raisers Edge
·Knowledge of Wealth Screening tools such as ResearchPoint.
